Support Tools Procedure

Support Tools access is necessary for some national roles to carry out their work effectively. As this facility allows access to sensitive information about website members, care should be taken about the information that can be seen.

1. Only those currently carrying out identified and agreed roles should have Support Tools access.

2. Information that can be accessed is confidential in varying degrees and users must adhere to our Data Protection Policy

3. Teams or the Board should inform the Geek Team promptly when someone takes on or stands down from a role, so that Support Tools access can be given or removed.

4. A list of who has Support Tools access will be included in the Teams section on Modtools.


The current list of national role holders is below, with information about which are entitled to Support Tools access, and what functions they use as part of their job. Those that haven’t got automatic access can request ad hoc access via the Board and/or geeks.

  • App Developer - yes, need all facilities to do the job
  • Board - no
  • ChitChat moderation - yes, Find User and Find Group for context information and group email address
  • Councils - no
  • Data Protection Officer - no
  • Development Coordinator - no
  • Director of Media - no
  • Geeks - yes, need all facilities to assess member and volunteers problems, and keep the platform and Modtools updated/working etc.
  • Gift Aid - yes, need Find User to check for other email addresses if contact fails on email address tied to the Gift Aid consent
  • Governance Wonk - no
  • Mailbox Team - yes, need Find User, Find Group and Find Message to answer problems from group members and volunteers
  • Mentors - yes, coordinator and deputy coordinator need Find User, Find Group, List Groups and Contact Group to find and assess struggling groups
  • New Groups Team - yes, need Find User, Find Group and Contact Group, Add Group to carry out setting up new group
  • Newsletter - no
  • Ombudsmen - yes, need Find User to check out details of complaints between group members and volunteers
  • Platform Developer - yes, need all facilities to do the job
  • Returning Officers - yes, need Find User and Contact Group to check eligibility for voting and to mass mail all volunteers for AGMs and elections
  • Social Media - yes, need Find Group to see home pages and check social media links
  • Spammer List - yes, need Find User to check spam reports from volunteers
  • Support - yes, need Find User, Find Group and Find Message to answer problems from group members and volunteers
  • Training - yes, need Find User to help assess applications from members to be a volunteer
  • Treasurer - yes, need Find User for donation information
  • Trustpilot - no
  • Volunteer Support/Discourse Support - yes, need Find User to check whether volunteer or not
  • Wiki - no
