'''June 2016'''

'''Group members 58'''

Freegle Development is a group where new policies are discussed and voted on and any changes of existing policy are discussed.

In June we discussed the following:

Task 40 Best practice review – help
After adding links for the cafe group and also for the funding group this task has now been completed.

====Task 40: Best practice review – preface====

An attempt to put into words the unspoken agreement we have as moderators. It was felt that we needed to create a moderators remit, so it is clear what Freegle will do for mods and what is expected from mods in return. There may still be a few adjustments before the final document is polled on.
Freegle Volunteer Agreement
Thanks
for agreeing to volunteer for Freegle, for your local group or nationally.
Here's
how we'll help you and what you can do for us.

Freegle
nationally is committed to:
·
Providing the IT infrastructure to list and host local groups
·
Providing support for all aspects of running a group by email, in
national groups and the wiki
·
Representing Freegle nationally and promoting Freegling to
national bodies and agencies
·
Running national social media and other publicity, and encouraging
local Freegling by provision of technical and promotional facilities
·
Providing policies, guidance and insurance to help ensure the safe
running of groups
·
Supporting all volunteers regardless of age, background or social
profile
·
Encouraging mutual participation and decision making amongst all
volunteers through accessible organisational structures, proactive
communication and openness in governance

Local
volunteers agree to run their group by:
·
Implementing Freegle rules and best practice
·
Having current computer and internet access, understanding and
skills
·
Moderating their group messages and memberships at least daily,
with moderating coverage 7 days a week
·
Helping members with problems and information in a consistently
positive way
·
Keeping in touch and communicating with Freegle nationally

and it
would also be great if local teams:
·
Know the area that is served by their Freegle group and have an
interest in local and national environmental causes.
·
Publicise their group to build membership, eg do social media,
press releases, run stalls, run events.
·
Work with local councils or other relevant local bodies,
businesses, charities etc to increase freegling in the community.
Keep in touch with neighbouring
volunteer team

====Task 51 New Platform will it need T&Cs====

Chris said that Apple insist on T&Cs before allowing the app, so for the app at least, there will be Terms and Conditions, however Edward doesn’t want to implement them on FD because it is another step in the process of signing up and we already have a perfectly good disclaimer. Chris has taken on the task of writing up some new Terms and conditions for the app.

====Task 40 Best Practice review – 3:12 Socialising====

A couple of minor changes were made to note how nice we all are and to point out that it is good to meet up and get to know fellow mods.
The task has been marked as complete and the new document can be found here
http://wiki.ilovefreegle.org/Best_Practice#Would_you_like_to_socialise_with_other_Freegle_Mods.3F

If you have any suggestions or ideas for this discussion or any others, please join us on development. The more people’s ideas that can be included in discussions, the better it is for Freegle.

                         '''Report for Freegle Mentors'''
May/ June 2016
Mentors currently have 9 members and 1 Board observer.

Mentors are;
Christian, Diz, David, Tom, Cooky , Jo and Alison. Sheila is the team coordinator Wanda is acting co-coordinator and Andy is our Board observer.

Mentors are there to advise new Group Owners in their first 6 months of set up as required and continuously thereafter, if still needed. We give support to struggling groups, we are caretakers for groups that have been given up by their owners and we contact groups that are not being actively moderated to offer help.

If you know of any group that is being left unmoderated for long periods, mentors can be contacted in strictest confidence. We would rather help out and get things back on track before a group ends up being abandoned.

We have been working on recruiting new mods for groups that are struggling to moderate daily, where the owner has asked us to help and also on caretaker groups that have been handed over by retiring owners to be run centrally. Mentors have a training group that is set up to look like a real working group, called Freegle Freshers. Joy from Devon helps on the training groups and together we work to give new mods the confidence they need.

We try to show the trainee mods (and experienced ones too sometimes) how to use Modtools effectively, we also go through the Yahoo functions, so the new mods have a good idea of how everything works when they join a new team.. For those who want to, we also do a quick course on FD and Twitter.

We hope that for the caretaker groups, the mods we train, will eventually take the group they are training on as the new owner. We have had a few successes so far.

Mentors now has 9 members, John left the team in early June and we would like to thank him for the help he gave during his time with us. The team are all very stretched and we really could do with some fresh volunteers. All you need is patience and the ability to moderate and help another group owner to moderate, or to run an extra group or two. You also need to be happy to follow best practice guidelines on any group that is nationally owned and to use a fixed set of rules to moderate caretaker groups . If you think you can be a mentor, please get in touch atmentors@...
Please bear in mind some of these groups may need long term caretaking as volunteers can be difficult to find.

All Caretaker groups are added to modtools. It takes a few minutes extra each time you moderate to clear the messages on extra groups.

In the last few weeks we have emailed a couple of inactive groups that were reported as auto rejecting emails and they are now back up to speed and moderating regularly. We have also been helping a group to find new moderators and get them trained as the owner wishes to stand down, but wants local people to moderate in her place, to be able to do that. We have so far trained two new mods who have both started. A third mod for the group is about to be trained and the original owner has been able to take a back seat.

We have covered a few groups for holiday cover since early May. If you have a holiday coming up, please don’t leave your group unmoderated, we are happy to help with cover. Contact us on mentors@ilovefreegle.org

If any mod teams local to any of these groups would like to take any of these groups on as permanent new owners, please contact us

'''Report for Freegle Mentors April 2016'''

Mentors currently have 10 members and 1 Board observer.

Mentors are there to advise new Group Owners in their first 6 months of set up as required and continuously thereafter, if still needed, we give support to struggling groups. We are caretakers for groups that have been given up by their owners and we contact groups that are not being actively moderated to offer help.

If you know of any group that is being left unmoderated for long periods, mentors can be contacted in strictest confidence. We would rather help out and
get things back on track before a group ends up being abandoned.

We are sorry to have lost Amanda as a team member this month. She decided to leave mentors and concentrate on her own groups. Amanda was the co-coordinator and a valued member of the team, we were sorry to see her go. Amandas leaving has left mentors short of a co-coordinator, but Wanda has stepped in temporarily to help out until a new co-coordinator can be found.

Tina has also decided that she is not active on the team and so is standing down as a mentor. We hope she may rejoin us when she is in a better position to do so.

We placed an admin on Central and Christine (Cooky) Smythe from Barrow Freegle came to our aid and has joined the team to help lighten the load. However we still could use more volunteers on the team.

Once again this month the caretaker groups list has increased with two more groups being handed to mentors. Bradford was given up by its owner and we advertised for new moderators immediately. We had a fair response and now already have two moderators fully trained on modtools running the group. So it is once again in the hands of a local mod team. South Tyneside was also handed over. As it had not been moderated for many months there are very few members still using the site and so it is likely to be under mentors control for some time while posts and membership builds again.

Mentors helped Edward to set up some easy start up instructions for helping groups new to modtools to set up. These can be found in the wiki here
http://wiki.ilovefreegle.org/ModTools

There has been continuing work on the caretaker configuration for modtools and a few more auto emails have been added to it.

The list below is just for the groups that are currently centrally owned and need new owners and mods. This month two new groups were added to the list, but one Was removed within a week or so of being added.

Please bear in mind some of these groups may need long term caretaking as volunteers can be difficult to find.

All Caretaker groups are added to modtools. It takes a few minutes extra each time you moderate to clear the messages on extra groups.
Please bear in mind some of these groups may need long term caretaking as volunteers can be difficult to find.

All Caretaker groups are added to modtools. It takes a few minutes extra each time you moderate to clear the messages on extra groups.

Mentors helped Edward to set up some easy start up instructions for helping groups new to motools to set up.

We would rather help out and get things back on track before a group ends up being abandoned.

Mentors helped Edward to set up some easy start up instructions for helping groups new to motools to set up.

'''Freegle Development report April 2016 '''

Group members 57

Freegle Development is a group where new policies are discussed and voted on and any changes of existing policy are discussed.

April on Development has again been busy with some very active discussions.

====Task 47 – Specialist groups====

First there was a continuation of the discussion on Specialist groups.. It was felt that each group would probably need contacting to see if they wished to continue. Our current view is that there is not enough activity on these groups to support them in the first version of the new platform. However if there was a strong case from the owners of the specialist groups to continue in some form, Edward said he would think again about how they could be included. They can however continue on Yahoo if they wish to.

There was a suggestion that we could fund student unions or other reuse shops, that agree to promote Freegle, with a token £20 a year. It was suggested that this could also be extended to group that are genuinely struggling to get off the ground, with advertising or leaflets for their groups.

GAT are currently contacting all of the specialist groups to see whether they wish to continue the groups or not.

This task is complete.

====New platform T&Cs====

We were discussing whether or not the new platform would need some terms and conditions. Edward wants to keep these short, because in reality nobody reads them and the longer they are the less likely they will be looked at. The rough idea of what the terms and conditions will be are here.

http://www.ilovefreegle.org/about/disclaimer.php

They may change slightly but as we are not a big company making lots of money we don;t need more than that. Group owners were assured that there is already an entry in the wiki about ownership of memberlists and this will still be valid when the new platform is in use.

====Best Practice review 3.9 – How many potential Freeglers do you lose.====

It was proposed the title of this part of the Best practice guideline be changed to ‘How welcoming is your group to new members’
There are some other changes and possible additions that are still being discussed.

====Task 50 – Volunteer support====

The Board have been discussing how to provide better volunteer support for moderators and groups around the country. They have suggested creating a paid position for someone who can support our current volunteers to help groups with local promotion and national volunteers from burnout as well as other tasks.

Development are currently discussing what an employed person would be able to do to improve things for us and what we should expect for our money. The position is for a year to start with so we can see by the results if it is value for money and worth continuing. Some team members feel this should be an experienced Freegle Member but others feel the person should be someone new looking at Freegle with a fresh outlook on how we function as an organisation.

It is felt that some sort of support is required, although deciding just what that support should include, is still being debated. This discussion is continuing into May.

If you have any suggestions or ideas for this discussion or any others, please join us on development. The more people’s ideas that can be included in discussions, the better it is for Freegle.
'''Group members 54'''

Freegle Development is a group where new policies are discussed and voted on and any changes of existing policy are discussed.

February again has been filled with interesting discussion. Development has welcomed 7 new members since our last monthly report.

Januarys discussion continued with - Task 44 GAT remit.

There were several adjustments to the current remit and once everyone was happy with the following amendments were polled on
*	To consult with, as appropriate, the Board, Mentors, Freegle UK Central Group and the Development Working Group.
*	To give monthly reports to Freegle UK Central Group with statistics and non-confidential relevant narrative of enquiries and pending, rejected and approved applications. The Report links to be listed on the Freegle Wiki for reference, GAT Reports.
*	(new bullet point)To maintain confidentiality regarding personal information of volunteers and any potential conflictual issues raised by other groups. If there is doubt about what constitutes confidential information, the Board Observer should be consulted.
Members of Development were 100% in favour of the amendments, which then had to go to the Board for final approval. The Board agreed the amendments and the wiki has been updated to reflect the changes.

Ethical suppliers and Partners

There was a short discussion on the sort of companies we choose to be associated with. This is a subject that has been discussed before on structure but there was no real conclusion at that time. It proved very difficult to come up with a concise set of guidelines of what might constitute an acceptable link or partnership for Freegle and so guidelines were set at that time, that Reps would make a recommendation to central and there would be a 7 day discussion period where Reps would take into account any objections. These guidelines are still being used now and it was felt that it would be difficult to improve on that at this time.

Task 42 Review of Mentors remit

The mentors reviewed their remit and added a process to appoint a new coordinator. Jacky created a Googledoc and Development members were invited to comment and make edits to it. Once the edits were completed the revised remit was brought back to Development and after a few more slight changes a poll was set up to agree the revised document. The poll agreed that the changes should be adopted and the recommendation has been sent to the Board for approval after which agreed changes will be added to the wiki.

New version of Modtools

Edward announced that the new version was ready to be rolled out to Freegle groups around the country. The new Modtools is now going to be free for all Freegle groups permanently and it will be free for cafe groups and mods groups for at least the first year. He asked if offering help to groups needing to set it up was something mentors could help with. Now that it s free there should be a push to encourage more groups to use it. The moderation interface of the new platform will be integrated with Modtools so everything is in one place and t is easier for all groups using FD to start using modtools as well in preparation for moderation of the new platform. if a group isn’t happy with using the new modtools, they can easily go back to moderating using Yahoo groups at any time. Mentors have said they are happy to help any groups needing help with setting the new version up. If any groups want help mentors can be contacted on mentors@ilovefreegle.org

Push Notifications

Edward explained there is now a new function on the new version of modtools in the form of push notifications that will let people know on their mobile phones or tablets when there are messages waiting to be moderated.

Task 40 – Best practice 3.4

What rules do you have? Keeping rules to a minimum. There were a few suggestions for additions to the current guideline and a poll was set up to change wording to
3.4 What rules do you have?
Best Practice:
Keep rules to a minimum to enable the smooth running of the Group. A lot of Groups impose rules that members have no idea existed! Try to apply them fairly with flexibility where appropriate.
Because
*	The fewer rules you impose, the less work it is for you to moderate your Group.
*	No-one is keen on reading or remembering lots of rules, so too many just means that your members don’t know what they are.
*	The Disclaimer statement covers legality, so there is no need to duplicate that with a long list of illegal items.
*	It is better to approve a message if at all possible and send a reminder about how to get it right than it is to reject a post and lose a member because their first contact was negative.
*	The fewest barriers in place for people to reuse items the more effective we are.
This wording was agreed and will be updated on the wiki.

Task 10 – Find a better way of communicating technical developments.

This task was originally form Growth and has been enlarged to cover communicating generally from Central to group volunteers. Yahoo has stopped delivering all mail to group owner addresses. Edward is working on a way to contact all groups but there is no easy solution. We need to find a way to contact groups that won’t be seen as intrusive or misuse of personal email addresses. The last central summary sent on Feb 8th was not received by any groups. The new FD interface will solve many of the problems but that is a while off yet. This discussion is continuing.

Task 41 – Review caretaker group guidelines

This topic was put on hold whilst the Board considered the GAT remit changes. Now that they have been approved the review of caretaker guidelines continues. Mentors asked that it be clarified when a group should be considered a centrally run caretaker group. When a group is abandoned and a moderator finds themselves to be running a group purely because they were still on from launch or group set up, or adding FD or when a group is handed over to a central team such as Mentors or GAT, it should be considered to be a centrally owned group and be covered by caretaker guidelines and handover procedures.
Privately arranged handovers to neighbouring teams should not be included. This discussion will continue into March.

Task 40 Best practice 3.5 Restricting wanted posts

There have been some suggestions about restrictions on reposts and that a group with wanted posts is better than a group with no posts. This discussion is still ongoing.

Development would welcome new members to join the discussions and help with deciding new procedures and policies for Freegle. If you would like to join us we can be found at;

                       '''Report for Freegle Mentors'''
'''February 2016'''
Mentors currently have 12 members and 1 Board observer.

We would rather help out and get things back on track before a group ends up being abandoned.

February started off with mentors discussing messages to add to our new Modtools configuration for caretaker groups. This is still a work in progress and we are adding new messages as we are finding they are needed. All messages are agreed by the team before being added.

Jacky emailed mentors from Development and asked us to review the Google doc for the revision of the mentors remit. Members of the mentor team helped with comments and are happy with the recommendations for the revised remit.

We discussed the possibility of merging a caretaker owned group with a local group. The local group are currently running both and felt it made sense to make the two groups one large single group. After further consultation with the team currently running both groups, a request will be sent to GAT.

Two new groups were added to the caretaker list this month. Cardiff freegle and Rhonnda Cynon Taf. The owner and co-owner both decided they wanted to give up moderating and so both groups are looking for new owners. Christian made up some new logos for the groups and they have both been updated.

Mentors discussed the coordinator position as Sheila was standing down. After some discussion it was decided that a new co-coordinator taking the pressure off and sharing some of the work would be a good idea. Amanda volunteered for the position, so the team polled and it was agreed that she should work alongside Sheila for a while and they will spread the load between them, then reconsider the coordinator role again sometime in the near future.

We debated the use of the mailbox. Generally mentors use their personal email addresses and cc to the Yahoo group for copy emails. It was suggested on Development that we should use our mailbox more, so emails sent out by the coordinators of the group are now generally sent out using the mailbox, as there are now two of us, it does make it easier to see what each other have done .

Mentors welcomed Andy Ludlow as the Board Observer for the mentor team. He had been an active mentor but now will take a back seat as an observer.
The team discussed contacting groups who are not currently using Modtools to offer help with setting it up and using it effectively. Christian will be emailing groups and the mentor team are ready to help anyone who replies to his email.

Lorraine decided to leave the team as she wasn’t actively mentoring any groups. Mentors can contact her via the GAT mailbox when they need to and that leaves her able to concentrate more on the Freegle groups she is active with now.

Currently there are two groups being mentored as new groups and we have a third one that is being mentored as a new owner of an abandoned group.

There has been a request to hand a group over to a Facebook group which is currently unofficial, but is doing much better than the official Yahoo group. The unofficial Facebook moderators have said they would be happy to take the group on if they can continue as they are now. Geeks have said this will be possible to do, but the discussion with the official group owner as to whether this is the best thing for her group is continuing.

The list below is just for the groups that are currently centrally owned and need new owners and mods. If any mod teams local to any of these groups would like to take any of these groups on as permanent new owners, please contact us.

*Ealing
*Kensington and Chelsea
*Leamington and Warwick
*New Forest West
*Stafford

We have attempted to contact owners of several inactive groups this month and have been successful in making contact with two, there are some others that we have had no success with so far but we are still trying.

GAT have been given access to the caretaker list as our procedures now require and are checking through the core areas to see if any changes need to be made, before the groups are handed to new owners.

The mentor team is still looking for new mods to help out. if anyone thinks they may be able to mentor a new group owner or caretake a group that has been handed over for Freegle to run centrally, please contact us at mentors@ilovefreegle.org . All Caretaker groups are added to modtools. It takes a few minutes extra each time you moderate to clear the messages on extra groups.

Mentors currently have 13 members. Mentors are there to advise new Group Owners in their first 6 months of set up as required and continuously thereafter if still needed, we give support to struggling groups. We are caretakers for groups that have been given up by their owners and we contact groups that are not being actively moderated to offer help.

If you know of any group that is being left unmoderated for long periods, mentors can be contacted in strictest confidence. We would rather help out and get things back on track before a group ends up being abandoned.

The New Year began with mentors refining the caretaker configuration that will be used on all of the caretaker groups in the care of mentors. The whole team had the chance to input their own ideas so that we came up with a set of auto emails that we are all happy with. This is now in place on mentor run caretaker groups.

GAT informed mentors that they wished to start a discussion on Development about what they saw as inconsistencies in approaches between GAT and Mentors that they thought needed addressing. They emphasised that it was with concern to the new policy being used for the first time. A long discussion on development followed and policies are still in the process of being changed for both teams enabling us to communicate better with regard to handing groups over to new owners.

It is in Mentors remit that an observer should have been appointed, but so far there never has been a Rep or Board observer on the group. So Mentors have applied to the Board for an observer.

Mentors need to select a new coordinator for the team. Development is currently deciding the mentors remit, this will include the process for choosing a new coordinator for the group.

A new group was launched in Berwick Upon Tweed. Jo knows the new owner and offered to take the group on as their mentor for the first six months. This brings the total groups being mentored for their first six months to three.

We have had one group removed from the caretaker list this month. Amanda Reynolds a member of the mentor team applied for North Warwickshire which was abandoned for some time before it was eventually handed to mentors in Late December. Amanda lives on the border of the group and so the case was discussed taking into consideration the new guidelines and a poll of the team unanimously agreed that Amanda is in the best position to take the group on.

The list below is just for the groups that are currently centrally owned and need new owners and mods. If any mod teams local to any of these groups would like to take any of these groups on as permanent new owners, please contact us.
