This version of the ModTools app shows the live ModTools website within the app, as well as handling push notifications.
So: the app is always up-to-date with the latest ModTools website changes.

Initial screen
On first use, the first screen below shows, assuming that you have enabled notifications. You can just press the Start ModTools button to show the normal ModTools screen. You will need to sign in to ModTools again.

However you will probably want to enable and connect notifications. Enabling notifications is done within an Android or iOS popup - but can also be turned on and off in the *phone* settings for the ModTools app.

To tell the Freegle server that you want notifications, enter your modding email and press Connect. If successful, the screen either shows "Success" or "Connected".

When you next start the app, it will automatically show the normal ModTools screen.
However you can go back to the initial screen then you can close the ModTools window using the X in Android or Done in iOS.

You can manage notifications in the usual way within the phone settings for the app.

Using ModTools
When you press Start ModTools for the first time then you will have to sign into ModTools.
Currently only a Freegle login and Yahoo login work.
Once logged in you may use ModTools as normal.

If a work notification arrives while not on the app, then tapping on the notification will start the app and show the relevant ModTools screen.
(If you are currently using the app, the screen will not change if you tap on the notification.)

If you wish, you can close the app in the normal way eg by swiping it away.

Note that opening external links within ModTools will not open the links in another page eg in Chrome or Safari. Instead they will replace the current screen; you can return by swiping back.
Initial screen
On first use, the initial screen below shows.

You need to connect your modding email address first. Then press the Start ModTools button to show the normal ModTools screen. You will need to sign in to ModTools again.

When you next start the app, it will automatically show the normal ModTools screen.
However you can go back to the initial screen then you can close the ModTools window using the X in Android or Done in iOS.

So: enter your modding email address and press Connect.
This enables app notifications.
If this is successful then "Success" appears at the bottom.
If you return to this screen then the message says "Already connected".

Once logged in you may use ModTools as normal.

If a work notification arrives while not on the app, then tapping on the notification will start the app and show the relevant ModTools screen.
If you are currently using the app, the screen will not change if you tap on the notification.

Note that opening external links within ModTools will not open the links in another page eg in Chrome or Safari. Instead they will replace the current screen; you can return by swiping back.

The tenth AGM of Freegle Ltd will be held 4th September to 6th September 2024 inclusive on the Freegle Discourse discussion group. As detailed in our Rules under Retirement Cycle, two elected Directors are obliged to stand down. We have had 7 elected Directors over this past term, and 1 co-opted Director, which means 2 elected Directors are standing down, plus the co-option period ends at the AGM. We therefore have 4 vacancies for the coming term.

The current elected and other Directors can be found at Freegle Board.
A new closed discussion group was set up in September 2020 after a UK wide request was sent out to members. It is at https://groups.io/g/FreegleGraphics and is set up to do photoshop stuff for Freegle. The request was:

Occasionally Freegle needs professional-level graphics wizardry. For example, right now we have a Welsh translation for the poster at https://www.ilovefreegle.org/spread, and we need someone to modify the existing poster and lay it out nicely and clearly. We could have a bash at it, and we’d probably do something which looked ok, but we want something which looks lovely.
<br>
Anyone who is fairly skilled with Photoshop and fancies joining in can apply directly at the group, or you can also email geeks@ilovefreegle.org to chat about what you can offer.

Events
When you hold an event to promote your community, you could be covered by Freegle's Insurance as long as you provide some basic information and follow these guidelines.

Getting covered by Insurance
Please don't assume that everything you are doing as a volunteer is covered by the national insurance policy. Of course, in the average day of running a community there is very little risk of an insurance claim by or against you. But when you run an event or deal with things face to face the risks are increased so Freegle has Employers Liability and Public Liability cover. To use this you need to email board@ilovefreegle.org. You will need to give at least 7 days notice of the event so that there is time to complete the process, but sooner than that would be better.<br>
The basic procedure for a community/volunteer is:<br>
* If you want cover for an event, email board@ilovefreegle.org to say so.
* Please complete an information form and risk assessment form
* Once the form and assessment are submitted, you will be sent a copy of the insurance policy and cover confirming that xxx event has been noted for the purposes of the policy and encourages use of spreadsheet for organising their event
* Once the event is over, feedback should be given to board@ilovefreegle.org

If this process is not carried out, there is no guarantee of the insurance cover being applicable to your event.

Policy Summary
Policy No: 2155667622AO13498<br>
Period of Insurance: 25 June 2023 to 24 June 2024<br>
Insurance broker: Graham Sykes Ltd<br>
Insurer: Covea Insurance plc<br>
Policy Type: Multiple: Event<br>
Cover : Public Liability and Employers Liability. The employers liability section covers up to 4 volunteers/helpers.
Policy Details
For the small print, please see https://docs.google.com/document/d/1TY3S8rktd4pJ5EYA6mkdRbiB48SfHe5XM4YmAd4jClo/edit?usp=sharing

Excesses
Please be aware that for any claims under this policy, Freegle UK or Freegle Ltd will not cover the £250 excess for Public Liability. If a claim is made the excess is the responsibility of the Volunteer(s) who are party to the claim. This does not apply to the £500 Policy Excess in respect of any damage caused by a gazebo to volunteers/helpers.

First Aid
First aid cover is the responsibility of the volunteers, who, at a minimum should make sure that people would know where to go in case of an incident, and are given access to a phone and a chair.

Storage of Information
The information given as part of the procedure for getting cover will be kept and accessed only by the mailbox board@ilovefreegle.org

INSURANCE COORDINATOR REMIT
* deal with requests for insurance cover from volunteers, ensuring all the procedures and paperwork required are completed
* keep the insurance information on the wiki up to date
* collate annual statistics so that Freegle has an overview of commitments against the policy in the past year
* report to the Freegle Board

The current insurance coordinator is Ray Owen.

The basic procedure is:<br>
* Community/Volunteer who wants cover for an event emails board@ilovefreegle.org to say so.
* Please complete an information form and risk assessment form
* Once the form and assessment are submitted, you will be sent a copy of the insurance policy and cover to community/volunteer confirming that xxx event has been noted for the purposes of the policy and encourages use of spreadsheet for organising their event
* Once the event is over, feedback should be given to board@ilovefreegle.org

If this process is not carried out, there is no guarantee of the insurance cover being applicable to your event.
*10.01.24 - Freegle - iOS 3.1.6
This includes various website updates including the simpler Browse page.
On iOS 17 it lets you Add to Calendar for agreed handover date-time-s again; there’s supposed to be an option to only enable adding events but I (Chris) couldn’t get this working, so the app asks for Full Access.to the calendar if you want to add such an event. You can turn Full Access on and off via iOS phone Settings.

Note: on 13.9.22, Google Play Store says that the Freegle app on Android has 29,223 installs and ModTools 131 installs.
On 29.11.22, Google Play Store for the apps on Android was showing 100k+ downloads and ModTools 100+.

Freegle discussion forums on Discourse

Freegle's main discussion groups (for volunteers only) are on Discourse. here:
* https://discourse.ilovefreegle.org/

Using Discourse should be straight forward, but here are instructions to help.
Discourse works best on the web or using the Discourse app but it can be used by email if you wish.

Please ask general questions on Central, techy questions on Tech, etc. You don't need to join a group so just post a question in Tech if you want; you will see replies even if you aren't following the group. You can start a topic on the website or by sending an email to one of the addresses below (from an email address that's a member).

These discussion groups are on Discourse:
* Central - https://discourse.ilovefreegle.org/c/central - discoursereplies+Central@ilovefreegle.org
* Tech & ModTools - https://discourse.ilovefreegle.org/c/tech - discoursereplies+Tech@ilovefreegle.org
* Freestock - https://discourse.ilovefreegle.org/c/freestock - discoursereplies+freestock@ilovefreegle.org

There is one 'closed' group which is used to send out important information to each Discourse account address. It is not open to replies except on the above discussion groups:
* Announcements - https://discourse.ilovefreegle.org/c/announcements

There's a Playground group is available - ask questions on how to use Discourse there:

By default you should be emailed a summary of posts every day. You can change these settings by clicking on the user+cog icon (top right) then
look in the "Emails" and "Notifications->Groups" tabs.
* Changing settings
* Details of the user migration

Privacy-wise, you can post details of Freegle users if need be, but avoid personal details if possible. Do not share any personal details outside of the forums.

An "Us" Discourse icon appears within ModTools showing a count of notifications.

Watching more groups
If you want to get emails about more groups, go to https://discourse.ilovefreegle.org/categories
then click on the group you are interested in. Click on the bell icon to the right and eg choose "Watching".
A badge is an image with a link - if you click on the image you are taken to the appropriate site.

A badge is a chunk of HTML that you can put on your group homepage (if you are a moderator) or put on any other site which you control. In the HTML you can alter or remove the title as you wish.

To get the badge HTML, drag your mouse cursor over the HTML to highlight the code. In Windows, right-click and select Copy. Then paste into your web page code or your group description.The numbers in the name refer to the size in pixels - the size you see them in the wiki will be the size you see them in another webpage.

Discourse overview

About Discourse
Discourse is open source software, started in 2013. It is run by a private business currently with a team of 33 staff who earn their keep by hosting Discourse for US$100+ per month. They are committed to keeping Discourse open-source and provide regular updates which are easily installed. Freegle uses the open-source version so there are no fees to pay. We do pay a small amount for our own backups and sending emails, as well as some paid geek-time.

Discourse updates are notified to admins. Some updates can be installed by any admin; others will need to be done by geeks. There may be a small amount of down time during upgrades.

Discourse has many many configuration options, controllable by admins. In addition, Discourse can be "programmed". The API was used by the geeks to set up all the user accounts and set the right email choices. The theme appearance of the site has been tweaked.

Resilience
It is important that the Freegle Discourse system is resilient and independent of the main Freegle servers, so we can communicate if they are down!

Discourse runs on a Bytemark server that is separate from the main Freegle servers in a separate data centre. Discourse is configured to back up all its data every day overnight. The data file is then automatically backed up to Google cloud storage. Five backups are kept on the main Discourse server. The Google cloud keeps all the daily backups for 90 days. Restoring from a backup has been tested. If data has to be restored, any discussions or setting changes since the backup will be lost.

You can still log in to Discourse even if MT is down. This is partly done by Discourse remembering your login in a cookie. In addition the Discourse server remembers the MT logins every 30 minutes to use if someone needs to login when the site is down.

To cope in the event that the main Discourse server is unavailable for some time, a second Discourse instance has been set up on one of the main Freegle servers. This standby instance can be brought into service by the geeks fairly quickly using the last available good backup, ie the snapshot taken overnight.

Mail in and out
Discourse sends mail out and can receive receive mail in. Both these processes are independent of the normal Freegle email facilities.

Mail is sent using a Mailgun account which costs us a little each month.

Mail is received at a Google hosted mailbox called discoursereplies as described elsewhere. The mailbox is polled every few minutes for mails to process.

To do
* Update FAQ, ToS and Privacy pages on Discourse.
* https://www.discoursehosting.com/kb/your-discourse-forum-and-the-gdpr/
If you see an error when viewing Discourse, then this is usually resolved by logging out of Discourse if you can, logging out of MT, closing your browser, starting it again, then logging in to MT, then going to "Us" in Discourse.

Signing in and out
Your Discourse login is linked to your MT login. If you are logged in to MT then you will be logged in on Discourse. If you are accessing Discourse on a different browser then you will be shown an MT login screen; once logged in you will be redirected back to Discourse. If the redirect doesn't work for any reason, please go to https://discourse.ilovefreegle.org/ again and you should be logged in automatically.

Username and email address
Your Discourse username and email address (for notifications) are set by MT. (You won't need your Discourse username to log in.) If you change your name or email, then you need to log out and in again at Discourse for the change to be seen. Discourse admins cannot change your name or email.

Your username is your MT "Display name" in MT Settings->Personal, with any spaces converted to underscores. If there are two people with the same name, then one of them will have "1" at the end. People can mention you on Discourse eg @Chris_Cant. If I were to change my name then the old references would no longer work.

The email address is the one used to send you notifications (if you want them). And you must send from that email address if you want to post replies or new topics.

You can log out of Discourse by clicking on your avatar (top right) then the Preferences icon then Log Out.
Note that the "Log out all" option on Preferences+Account will do the same.
