Freegle centrally has purchased an Employers and Public Liability Insurance (PLI) policy to cover Volunteers when they are engaged in Freegle activities.


Events

When you hold an event to promote your group, you could be covered by Freegle's PLI policy as long as you provide some basic information and follow some guidelines.

Getting covered by Insurance

Please don't assume that everything you are doing as a volunteer is covered by the Central insurance policy. Of course, in the average day of running a group there is very little risk of an insurance claim by or against you. But when you run an event or deal with things face to face the risks are increased. To get cover, you will need to email insurance@ilovefreegle.org . You will need to give at least 7 days notice of the event so that there is time to complete the process, but sooner than that would be even better!


The basic procedure is:

  • Group/Volunteer who wants PLI for an event emails insurance@ilovefreegle.org to say so.
  • insurance@ilovefreegle.org asks for completion of an information form [1] and risk assessment form [2]
  • Once the form and assessment are submitted insurance@ilovefreegle.org sends a copy of the insurance certificate and policy to group/volunteer confirming that xxx event has been noted for the purposes of the policy and encourages use of spreadsheet for organising their event [3]
  • Once the event is over, feedback should be given to insurance@ilovefreegle.org

If this process is not carried out, there is no guarantee of the insurance cover being applicable to your event.

Sub-Section 1 – Employers Liability - Included

  • GBP 10,000,000 any one occurrence but
  • GBP 5,000,000 any one occurrence in respect of injury occurring offshore

Sub Section 2 - Public Liability - Included

  • GBP 2,000,000 any one occurrence or series of occurrences arising from any one event and unlimited in the aggregate in the Period of Insurance
  • Excess - The Insured shall bear the following amount of each and every claim in respect Property Damage : Sub Section 2 - GBP 250 each and every loss in respect of third party property damage

Excesses

Please be aware that for any claims under this policy, Freegle UK or Freegle Ltd will not cover any excesses that apply. If a claim is made the excesses are the responsibility of the Volunteer(s) who are party to the claim.

Storage of Information

The information given as part of the procedure for getting cover will be kept and accessed only by the mailbox insurance@ilovefreegle.org (details of who this is can be found at http://freegle.it/WhosWho ).


INSURANCE COORDINATOR REMIT

  • man the insurance@ mailbox and ensure all queries are answered promptly
  • deal with requests for PLI insurance cover from group volunteers, ensuring all the procedures and paperwork required are completed
  • keep the insurance information on the wiki up to date
  • collate annual statistics so that Freegle has an overview of commitments against the policy in the past year
  • reporting to the Health and Safety Officer
